Expectations of a Section

  • Host regular Board Meetings
  • Create and maintain a yearly budget
  • Host local meetings to provide technical content and networking opportunities for members
  • Support Student Chapters within your section’s boundaries.
    • This includes having a Student liaison on your Executive
  • Host social activities for local membership. Engage students and younger members
  • Communicate with members regularly via email, newsletters, or social media
  • Actively recruit and allow interested members to participate
  • Develop, document and share clear roles and responsibilities for Section leaders 
  • Consider leadership development opportunities like supporting Section leaders in participating in LeadershipITE
  • Submit a Section Annual Report by March 1

Funding Sources

Membership Dues

  • Provided by ITE through individual membership dues
  • Amount dependent on number of members in a section
  • ITE Canada distributes to Sections quarterly

Hosting Events

  • Most Sections host in-person events for local members on a regular basis (e.g., monthly, quarterly, semi-annually)
  • Registration fees can cover event costs and/or provide surplus revenue for other Section expenses

Sponsorship

  • Sections can seek sponsorship from local firms/agencies for events and activities

Events

  • All Section events must be posted on ITE Canada’s Event Page
    • Provides insurance coverage for the event
  • This can be used for registration/tickets but that is not required

How to add an event?

  • Community: Submit Event form: itecanada.org/events/community/add
    • Must be logged into your sectionname@itecanada.org admin account
    • You can control the formatting, uploading images, etc.
    • Select your Student Chapter as the “Event Organizer” to sync to micro-site
  • OR email info@itecanada.org with your event details

Event Fees

  • Event payments can be processed through ITE Canada’s event calendar but this is not required
    • NOTE: Registration fees processed through the website are subject to GST/HST fees
  • ITE Canada covers on the Section’s behalf:
    • GST/HST charged on tickets
    • Stripe processing fees associated with credit card transactions
  • Section event revenue is distributed monthly

  • Aim for a balanced budget over the course of the year

Sponsorship

  • Many Sections offer sponsorship for specific events
  • Some allow the sponsors to provide event speakers
  • Others simply offer recognition and logo placement

Communications

ITE Canada provides several services to Sections, free of charge.

What is it?

Each Section has a micro-site on itecanada.org, free of charge. These are sub-pages hosted on itecanada.org using the WordPress platform with a special sub-menu made to look like its own website.

URL

Custom shortened domains (sectionname.itecanada.org) are provided for each micro-site to make it easy to share. Find yours in the table below/to the right.

Admin Login

  • Dashboard URL: itecanada.org/login
  • Username: sectionname@itecanada.org
  • Password: Same password already used to log into our website (e.g., for creating events). If you don’t have one or it doesn’t work, contact us.

Event Calendar

Your events must be posted to ITE Canada’s event calendar. These will sync to your micro-site Events page. See instructions above

Each chapter has an official sectionname@itecanada.org email address.

This is either set up as a forwarding address (receive mail only) or a full Google Account.

Benefits of a Google Account:

  • More professional: send mail from @itecanada.org address
  • Better continuity/transition: central inbox and shared documents that can be transferred. If the password is lost, ITE Canada staff can reset.
  • Other features: photo albums, group uploads

Each Section has an official logo that follows a template outlined in ITE Canada’s Brand Guidelines.

Please review the Brand Guidelines and ensure your Section Executive:

  • Use the logos provided. There are options for vertical and horizontal layouts plus short name versions and an icon for social accounts. If a different file format is needed, contact us.
  • Use the colour palette. Stick to ITE Canada’s colours to ensure your materials fit our overall look.
  • Use Overpass font: Use Overpass wherever possible as an additional branding element.

Each Section can have one Canva Pro account on ITE Canada’s team.

Gives you access to:

  • Canva’s Pro features – millions of stock photos, videos, templates + many tools
  • ITE Canada’s Brand Kit – colours and fonts built-in as your defaults
  • ITE Canada templates – social media headers, presentations, posters

How do I access it?

  • Accounts have been set up with sectionname@itecanada.org email address
  • We can add an existing account with a different chapter email address to our team instead

  • LinkedIn is most-used professional social networking platform
    • If you use only one social platform, this should be it
    • We can help you set up a Page affiliated with ITE Canada’s and graphics
    • Pages can be managed by multiple Administrators – different than a “profile”
  • Sections are welcome to create and maintain pages/profiles on other platforms

Best Practice

  • Post using your Section’s page
    • This helps build a following for your page and looks more official
    • Encourage members to repost/share the Section’s posts rather than creating posts using personal profiles
  • Tag people and companies in your posts (e.g., event speakers) plus ITE Canada
  • Ideas for posts
    • Events (upcoming and past)
    • Share posts from ITE, District, Student Chapter, and local partners
    • Celebrate milestones

Student Support

Members of Student Chapters in your area are also members of your Section. You can help grow your Section and ensure its future health by supporting a strong and engaged student membership base.

Student Liaison: Your Section must appoint a Student Liaison.

  • This person can someone on the Section Executive or another individual with experience and connection to your Student Chapter(s).
  • Sections must let ITE Canada know who this person is so they can be included in our notices/updates to Student Chapters
  • Your Student Liaison is expected to proactively support Student Chapters (e.g., reach out to introduce themselves if new, regular check-ins with Chapters)

Here are ideas of how you can support your Student Chapter(s).

Funding for Student Chapter(s)

  • Providing financial support is a key way for Sections to support their Student Chapters. This can include funding for:
    • Traffic Bowl/Conference attendance
    • Student Chapter events/initiatives
    • Consider donations of surplus funds to FTLF

Supporting Student Events

  • Encourage Section members to attend and sponsor student events
  • Help Student Chapters find engaging speakers
  • Collaborate with Student Chapters to organize events
    • Many Sections and Chapters jointly host Industry Nights to connect employers with students

ITE encourages our Sections to engage with elementary and high school students about the practice of transportation, how it impacts their lives, and careers in transportation.
